Responsibilities

  • Answers technical support calls and texts, first ring
  • Walks the caller through the checks in your brief, step by step
  • Records the symptoms, the model and what has already been tried
  • Routes to the right technician or queue by the rules you set
  • Books a service visit when the brief says a visit is needed
  • Texts you or your technician the case, with the recording

What it will not do

  • Quote a price you did not give it
  • Commit to a time slot you did not open
  • Pretend to be a person, or use a fake human name
  • Hold a caller while it "checks"
  • Call anyone back without consent on file
  • Tell a caller to try anything the brief does not cover, or say a problem is fixed when it has not been confirmed.

If a caller asks something outside the brief, it says so, takes the details, and texts them to you. It never guesses.

A shift, in its own words

What a call sounds like.

A sample call in one business's brief. Every business gets its own brief, so its technical support triage knows your hours, your calendar and your prices, not a generic script.

Incoming call · 8:05 am

[SAMPLE CALL]
  1. Caller: The thermostat screen is blank and the furnace will not start.
  2. Employee: This is the AI assistant for [YOUR BUSINESS NAME]. I can run through a couple of checks with you. Is the breaker for the furnace switched on?
  3. Caller: Let me look. It was tripped. I flipped it and the screen is back.
  4. Employee: Good. If it trips again today, that is a job for a technician. I have noted the model and what happened, and the owner has it. Would you like a visit booked as a precaution?

Case written up and texted to the technician; visit offered, not pushed.

Questions

Technical support triage questions.

Who writes the troubleshooting steps?
You do, with us, in the brief. It follows them and nothing else.
Can it open a ticket in my system?
It sends the case to the tools you connect.
What if the caller is not a customer yet?
It takes their details and hands them to the receptionist's brief, so they are booked, not lost.
