Responsibilities

  • Books appointments into the calendar you already keep
  • Offers only the slots you opened
  • Reschedules and cancels on request, and fills the gap when it can
  • Sends the confirmation by text or email
  • Works every lead that arrives by web form, text or missed call
  • Calls or texts only where consent is on file.
  • Keeps the calendar and the receptionist on the same brief

What it will not do

  • Quote a price you did not give it
  • Commit to a time slot you did not open
  • Pretend to be a person, or use a fake human name
  • Hold a caller while it "checks"
  • Call anyone back without consent on file

Double-book, book outside your hours, or contact anyone without consent on file.

If a caller asks something outside the brief, it says so, takes the details, and texts them to you. It never guesses.

A shift, in its own words

What a call sounds like.

A sample call in one business's brief. Every business gets its own brief, so its appointment coordinator knows your hours, your calendar and your prices, not a generic script.

Text thread · 3:05 pm

[SAMPLE CALL]
  1. Caller: Can I move my Thursday appointment? Something came up.
  2. Employee: This is the AI assistant for [YOUR BUSINESS NAME]. Of course. I have Friday at 9:00 or Monday at 1:30 open. Which suits?
  3. Caller: Friday at 9.
  4. Employee: Done. Thursday is released, Friday at 9:00 is yours, and a confirmation is on its way.

Calendar updated and the owner texted, without a call.

Questions

Appointment coordinator questions.

Can it call people to book them?
Only where consent is on file, and within the hours and rules that apply where the customer lives. Your employee places a call or a text only to people who agreed to hear from your business, only during the hours the law allows where that person lives, and it stops the moment someone asks it to.
What if two people want the same slot?
First confirmed gets it. The other is offered the next open slot, never a slot you did not open.
