Responsibilities

  • Answers every incoming call, first ring, no hold
  • Introduces itself as the AI assistant for your business
  • Takes name, number, address and the reason for the call
  • Books into your calendar or texts you the job
  • Answers the questions in its brief: hours, service area, what a visit costs
  • Screens sales calls and robocalls
  • Transfers warm to a person when a person is needed
  • Texts you a summary and the recording after every call

What it will not do

  • Quote a price you did not give it
  • Commit to a time slot you did not open
  • Pretend to be a person, or use a fake human name
  • Hold a caller while it "checks"
  • Call anyone back without consent on file
  • Quote a price you did not set, commit to a time you did not open, pretend to be a person, or call anyone back without consent on file.

If a caller asks something outside the brief, it says so, takes the details, and texts them to you. It never guesses.

A shift, in its own words

What a call sounds like.

A sample call in one business's brief. Every business gets its own brief, so its receptionist knows your hours, your calendar and your prices, not a generic script.

Incoming call · 6:48 pm, after close

[SAMPLE CALL]
  1. Caller: Hi, my check-engine light came on and the car is shaking. Can I bring it in today?
  2. Employee: This is the AI assistant for [YOUR BUSINESS NAME]. I can hold the 2:30 bay for you. What is the make and year?
  3. Caller: 2018 Civic. Text me at this number.
  4. Employee: Done. 2:30 today. You will get a text in a moment, and the owner has the details already.

Job texted to the owner before the caller hung up.

Questions

Receptionist questions.

What does it say when someone asks if it is a person?
"I am the AI assistant for [YOUR BUSINESS NAME]." Then it offers to book them or get you on the line.
Can it take payments or deposits?
Not in this role. It takes the details and books; payment links are a scheduling or back office task.
What if two calls come in at once?
It answers both. It does not put anyone on hold.
Can I hear my own calls?
Every call is recorded and transcribed for you, and the recording link is in the text you get after the call.
