Responsibilities

  • Answers support calls, the website chat and the business text line
  • Handles the everyday questions: billing, orders, returns, hours, how-to
  • Uses the same brief as the receptionist, so answers match
  • Keeps the thread open until the customer is sorted or booked
  • Escalates the complicated ones to you by text, with the full context
  • Texts you a summary and the recording or transcript after every exchange

What it will not do

  • Quote a price you did not give it
  • Commit to a time slot you did not open
  • Pretend to be a person, or use a fake human name
  • Hold a caller while it "checks"
  • Call anyone back without consent on file
  • Hold a customer in a chat loop when a call would serve them better, or approve a credit, return or exception you did not set in the brief.

If a caller asks something outside the brief, it says so, takes the details, and texts them to you. It never guesses.

A shift, in its own words

What a call sounds like.

A sample call in one business's brief. Every business gets its own brief, so its customer support agent knows your hours, your calendar and your prices, not a generic script.

Website chat · 11:20 am

[SAMPLE CALL]
  1. Caller: I ordered a filter last week and it still has not shown up. Order [ORDER NUMBER].
  2. Employee: This is the AI assistant for [YOUR BUSINESS NAME]. Let me check that order for you.
  3. Employee: It shipped on [DATE] and the carrier shows it out for delivery today. Would you like the tracking link by text?
  4. Caller: Yes please. And if it does not come today?
  5. Employee: Then text this same line and I will get the owner on it the same day. Sending the tracking link now.

Order status answered from the brief; nothing invented, nothing escalated that did not need to be.

Questions

Customer support agent questions.

Can it issue a credit or approve a return?
Only the ones written into the brief. Anything outside that, it takes the details and texts you.
Does it know my orders and invoices?
It knows what you connect.
What if the customer is angry?
It stays calm, does not argue, and offers to get a person. It never tells a customer they are wrong about how they feel.
