Responsibilities

  • Answers after close, weekends and holidays
  • Sorts urgent from routine using the rules you wrote
  • Texts or calls your on-call person for the urgent ones
  • Books the routine ones into the first morning slot
  • Tells the caller exactly what happens next, and nothing more
  • Texts you a summary and the recording after every call

What it will not do

  • Quote a price you did not give it
  • Commit to a time slot you did not open
  • Pretend to be a person, or use a fake human name
  • Hold a caller while it "checks"
  • Call anyone back without consent on file
  • Wake you for a routine call, or tell a caller help is coming when it is not.

If a caller asks something outside the brief, it says so, takes the details, and texts them to you. It never guesses.

A shift, in its own words

What a call sounds like.

A sample call in one business's brief. Every business gets its own brief, so its emergency dispatch knows your hours, your calendar and your prices, not a generic script.

Incoming call · 11:40 pm

[SAMPLE CALL]
  1. Caller: Water is pouring out of the bottom of my water heater. What do I do?
  2. Employee: This is the AI assistant for [YOUR BUSINESS NAME]. First, if you can reach it safely, turn the cold water valve on top of the heater to the right until it stops. Is the water near any outlets?
  3. Caller: No, it is just the floor. I turned the valve. It is slowing down.
  4. Employee: Good. This counts as urgent under the owner's rules. I am reaching the on-call technician now, and you will get a text with their name and an arrival window as soon as they confirm.

On-call texted and called; the caller told what happens next, not a time nobody had confirmed.

Questions

Emergency dispatch questions.

Who decides what counts as urgent?
You do, in the brief. It follows your rules and never guesses.
What if my on-call does not answer?
It keeps trying on the schedule you set, then moves to the next name on your list, and tells the caller the truth about where things stand.
Can it give safety instructions?
Only the ones you wrote into the brief for each kind of emergency.
