Who we are

MAXXUS.AI ENTERPRISES INC. ("Maxxus.ai") is a Canadian corporation with its office at 1200 de Maisonneuve W, Montreal, Quebec H3A 0A1. We provide AI employees (voice and text assistants) to businesses. This policy explains what personal information we collect, why, and what your rights are. The person responsible for the protection of personal information at Maxxus.ai is Maurizio Verrelli, President, reachable at privacy@maxxus.ai.

Two situations

We handle personal information in two different roles, and what you can ask of us depends on which one applies.

1. You visit our website or become our customer. We are responsible for that information, and this policy is your answer.
2. You call or text a business that employs one of our AI employees. That business decides why and how your information is used; we process it on the business's instructions and under its contract with us. To access, correct or delete what you said on such a call, contact the business first. We help the business respond.

What we collect on the website

When you ask us to call you back, we collect your name, business name, what your business does, where you work, your phone number and the job you want to fill. We use it to call or text you about your request, as the form says. We do not use it for anything else and we do not add you to a marketing list. Our website does not use advertising cookies or trackers. If we add analytics, this policy will say so.

What we collect when you become a customer

Your account details, your brief (the facts about your business that your employee answers from), billing information (handled by our payment processor; we do not store full card numbers), and your usage (minutes, calls, texts) so we can bill you and show you your Monday report.

What we process for the businesses that employ our AI

The phone number, name and anything a caller says to an AI employee; the recording and transcript of every call; texts exchanged; appointment details. The business owns this information. We store it for the business, show it to the business, and delete it on the business's instruction or at the end of the business's contract with us, as set out below. We do not sell it, share it with other businesses, or use it to train any model for anyone else.

Recording

Calls handled by an AI employee are recorded and transcribed. Callers are told at the start of the call.

Who we share information with

Service providers who help us run the service, under contracts that limit them to our instructions: telephony and messaging carriers, cloud hosting, AI model providers, transactional email, payment processing and customer support tools. A current list of the categories and where they store data is available on request at privacy@maxxus.ai. We also disclose information when the law requires it, to protect our rights or someone's safety, or in a sale or merger of our business, with notice to customers.

How long we keep it

Website inquiries: 12 months after our last contact with you. Customer account and billing records: as long as the account is open and 7 years after it closes, for tax and audit. Call recordings and transcripts: for the life of the business's contract with us, or shorter if the business sets a shorter period in its brief, then deleted within 30 days of the contract ending unless the business has exported them.

Security

Encryption in transit and at rest, access limited to the people who need it, logging of access, and written security obligations on every provider. No system is perfectly secure. If a breach creates a real risk of harm, we notify the people affected and the authorities the law requires, and we keep a record of the incident.

Your rights

Depending on where you live, you may ask to see the personal information we hold about you, correct it, delete it, withdraw consent, receive a copy in a usable form, and complain to a privacy authority. We do not sell personal information. Write to privacy@maxxus.ai; we answer within 30 days. If you are a caller to a business that uses our AI, ask the business first; we help it respond. You may also complain to the privacy authority where you live.

Children

Our service is for businesses and is not directed to anyone under 18.

Automated decisions

Our AI employees answer questions from the business's brief, book appointments and take messages. They do not decide whether you get credit, a job, a price or a service; a person at the business is always available on request.

Changes

We post changes here with a new date and email customers about significant ones.
