Service confirmation agent

Calls or texts the customer before a service visit to confirm the window, the address, who will be there and how to get in. Your crew arrives knowing, and you hear about the ones who are not home before the truck rolls.

Only where consent is on file.

Responsibilities

  • Confirms the visit window and the address before every job
  • Calls or texts only where consent is on file.
  • Asks the access questions you wrote: gate code, pets, parking, who will be home
  • Flags the ones that did not confirm so you can reroute
  • Tells the customer when the crew is on the way, if you switch that on
  • Texts you the day's confirmations before the first departure

What it will not do

  • Quote a price you did not give it
  • Commit to a time slot you did not open
  • Pretend to be a person, or use a fake human name
  • Hold a caller while it "checks"
  • Call anyone back without consent on file

Contact anyone without consent on file, or commit to an arrival time the crew has not confirmed.

If a caller asks something outside the brief, it says so, takes the details, and texts them to you. It never guesses.

A shift, in its own words

What a call sounds like.

A sample call in one business's brief. Every business gets its own brief, so its service confirmation agent knows your hours, your calendar and your prices, not a generic script.

Outbound text · 7:30 am, day of

[SAMPLE CALL]
  1. Employee: This is the AI assistant for [YOUR BUSINESS NAME]. You asked us to confirm: the crew is scheduled between 9:00 and 11:00 today at [ADDRESS]. Will someone be home?
  2. Caller: Yes. Side gate code is [CODE], and the dog will be inside.
  3. Employee: Thank you. Noted for the crew. Reply here if anything changes before 9:00.

Questions

Service confirmation agent questions.

Can it tell the customer the crew is running late?
Only what you or the crew tell it. It does not guess arrival times.
What if nobody answers?
It tries on the schedule you set, then flags the job so you can decide before the truck leaves.
Does it work by call or text?
Whichever the customer agreed to. Your employee places a call or a text only to people who agreed to hear from your business, only during the hours the law allows where that person lives, and it stops the moment someone asks it to.
