Responsibilities

  • Sends a reminder before every appointment, on the schedule you set
  • Calls or texts only where consent is on file.
  • Takes the confirmation and marks it in your calendar
  • Offers a new time when the customer cannot make it
  • Texts you the day's confirmations and the ones still silent
  • Stops the moment a customer asks it to

What it will not do

  • Quote a price you did not give it
  • Commit to a time slot you did not open
  • Pretend to be a person, or use a fake human name
  • Hold a caller while it "checks"
  • Call anyone back without consent on file

Contact anyone without consent on file, or remind outside the hours and rules that apply where the customer lives.

If a caller asks something outside the brief, it says so, takes the details, and texts them to you. It never guesses.

A shift, in its own words

What a call sounds like.

A sample call in one business's brief. Every business gets its own brief, so its appointment reminder knows your hours, your calendar and your prices, not a generic script.

Outbound text · the day before

[SAMPLE CALL]
  1. Employee: This is the AI assistant for [YOUR BUSINESS NAME]. You asked us to remind you: your appointment is tomorrow at 10:00. Reply YES to confirm or MOVE to pick a new time.
  2. Caller: MOVE. Could I do the afternoon instead?
  3. Employee: Yes. 2:00 or 3:30 tomorrow are open. Which one?
  4. Caller: 2:00.
  5. Employee: Confirmed, 2:00 tomorrow. See you then.

Moved, confirmed, and the calendar updated before the owner saw it.

Questions

Appointment reminder questions.

How far ahead does it remind?
On the schedule you set in the brief: the day before, the morning of, or both.
Does it call or text?
Whichever you set, and only where consent is on file. Your employee places a call or a text only to people who agreed to hear from your business, only during the hours the law allows where that person lives, and it stops the moment someone asks it to.
Can a customer opt out?
Yes, with one word, and it stops.
